Copying between systems

The same order typed into the ERP, then the spreadsheet, then the CRM — or a quote assembled by hand from WhatsApp, a price list, and Word.

The manual process

A person retypes the same information into each system because those systems do not talk to each other. One common case is a quote: the request arrives on WhatsApp, someone copies it into the CRM, looks up prices in a spreadsheet, builds the quote in Word, and sets a reminder to follow up.

Systems involved

  • WhatsApp
  • CRM
  • Spreadsheets
  • Word / PDF
  • Email
  • ERP

What stays with a person

Custom requests still go to a person, with the fields already filled in. The copying does not.

Illustrative example. Names and numbers are made up. The yearly figure is not a quote, a typical result, or a promised saving.

Before

  1. A customer asks for a quote on WhatsApp
  2. Bruno copies the details into the CRM
  3. He looks up prices in the spreadsheet
  4. He builds the quote in Word and exports a PDF
  5. He sends it and sets a reminder to follow up

After Galtec

  1. The request arrives on WhatsApp
  2. The details go into the CRM
  3. Prices come from the price list
  4. The quote PDF is created and sent
  5. A follow-up goes out after 3 days of silence

Custom requests go to Bruno with everything already filled in.
